Poland KSeF Providers: Software, Intermediaries & API Integrators for 2026
Complete guide to KSeF service providers in Poland. Certified software vendors, API integrators, and platforms for FA_VAT compliance in 2026.
Poland KSeF Providers: Software, Intermediaries & API Integrators for 2026
Poland's KSeF (Krajowy System e-Faktur) is fundamentally different from France or Germany: every invoice goes directly through the government platform. There is no intermediary routing network like Italy's SDI or France's PDP ecosystem. KSeF is the one and only clearing house for all Polish domestic B2B VAT invoices.
What this means for businesses is that the "provider" question is really a software question: which accounting system, ERP, or API integration tool will you use to connect your business to the KSeF API?
How KSeF Connectivity Works
Before looking at providers, understand the connectivity model:
- Your invoicing/ERP software generates a FA_VAT XML invoice (the structured format required by KSeF)
- Your software sends the XML to the KSeF API at
ksef.mf.gov.plusing your NIP (tax ID) and a cryptographic token - KSeF validates the XML against the FA_VAT schema and business rules
- If valid, KSeF assigns a unique KSeF reference number (numer referencyjny) and timestamps the invoice
- Your software retrieves the reference number and stores it alongside the invoice
- Your buyer retrieves the invoice from KSeF using the reference number
There are two connectivity methods:
- Direct API integration: Your software calls the KSeF API directly — best for businesses generating >50 invoices/month
- Web portal (e-Urząd): Manual upload via the KSeF portal at
efaktura.gov.pl— suitable only for very low volumes
Category 1: Dedicated Polish ERP and Accounting Software
These are the platforms built from the ground up for the Polish market and have native KSeF modules.

InsERT nexo
InsERT is one of Poland's oldest software companies (founded 1991) with a strong reputation for reliable, well-documented Polish tax compliance. InsERT nexo is their modern cloud/hybrid product.
- KSeF support: Native, with an offline mode for KSeF downtime (a real concern in Poland — the 2024 postponement was partly due to infrastructure reliability)
- FA_VAT version: FA(2)
- Features: JPK_VAT integration, ZUS/PIT compliance modules, clean modern UI
- Best for: Freelancers and small businesses wanting a clean interface with full Polish tax compliance
- Pricing: From PLN 89/month

enova365
A modular ERP platform popular with mid-market Polish businesses, available in both cloud and on-premise deployments.

Symfonia
Symfonia is one of the oldest Polish accounting software brands, well-known among Polish accountants (księgowi) and tax advisors. Their KSeF module has been part of the Symfonia ERP suite since the voluntary phase.

- Best for: Businesses whose accountant already uses Symfonia; widely supported by Polish biura rachunkowe (accounting offices)

Wapro ERP (Asseco WAPRO)
Wapro is a long-established Polish ERP from Asseco group — one of Central Europe's largest IT companies.

- Features: Deep Polish retail and wholesale integration, full accounting suite, widely deployed in Polish retail
- Best for: Polish retail and wholesale businesses needing tight POS and invoicing integration

Category 2: International ERP Systems with KSeF Modules
Large international ERP platforms have added KSeF compliance modules for their Polish customers.
SAP (S/4HANA and SAP Business One)
SAP released an official KSeF integration add-on for S/4HANA customers in 2025. SAP Business One also supports KSeF via certified Polish localisation partners.
- Best for: Large enterprises already on SAP
- Note: Requires implementation partner support; not a self-service module
- Website: sap.com
Microsoft Dynamics 365
Microsoft added native KSeF support to the Polish localisation of Dynamics 365 Finance in 2025, following the security audit-driven delay. The Polish localisation is maintained by Microsoft's Gdańsk development centre.
- Best for: Businesses already using Microsoft Dynamics 365
- Website: microsoft.com/dynamics365
Category 3: API Integration Platforms
For businesses with custom-built invoicing systems or ERP platforms without native KSeF support, API integration platforms provide a middleware layer.
Taxdown / KSeF Middleware (Various Vendors)
Several Polish IT companies offer KSeF middleware — essentially a service that accepts invoices in various formats and handles the KSeF API communication on your behalf. This is an option for developers who want to connect legacy systems without rebuilding them.
Key considerations when evaluating middleware:
- Authentication handling: Secure management of your KSeF token
- Retry logic: What happens when KSeF is temporarily unavailable?
- Error reporting: Clear notifications when KSeF rejects an invoice and why
- Audit log: Full log of every submission and KSeF response for future tax audits
The KSeF e-Urząd Portal (Ministerstwo Finansów)
For businesses with very low invoice volumes, the Ministry of Finance's own portal at efaktura.gov.pl provides a free manual upload interface. You can create or upload FA_VAT invoices directly.
- Cost: Free
- Limitation: Manual process; no API; not scalable beyond a few invoices per month
- Best for: Micro-businesses or testing before API integration
What to Look for When Choosing a KSeF Provider
1. FA_VAT version support
The current required schema is FA(2) (formally FA_VAT version 2.0). Ensure your software supports this — older software versions may only support FA(1), which is no longer accepted.
2. Offline mode for KSeF downtime
KSeF has had infrastructure issues in the past (the 2024 postponement was partly related to this). Check if your software has an offline mode: the ability to queue invoices locally when KSeF is temporarily unavailable and auto-submit when it recovers. This is especially important for businesses that cannot afford to stop invoicing during outages.
3. KSeF token management
Your KSeF token is a cryptographic credential that authorises your software to submit invoices. Losing or exposing this token is a serious security risk. Ask your provider how they secure and manage KSeF tokens.
4. JPK_VAT integration
Most Polish businesses also need to submit JPK_VAT (the standard audit file for tax reporting). Software that handles both KSeF invoicing and JPK_VAT reporting together reduces complexity significantly.
